Program Room Policy
Availability
Use of the Waterville Public Library Program
Room is free of charge to adult, non-profit groups. The room may not be reserved
for personal use.
Businesses may not use the room, unless the library is co-sponsoring a public
information or educational program with the business. Examples
of these types of partnerships include college financing, legal aid for seniors,
estate planning,
or investment planning. The Library Program Room is the only space in the
library available for use by non-library groups.
All Waterville
Public Library and Friends of the Waterville Public Library related activities
and programs will have first priority
for the use of the Program Room. Program Room usage by outside groups must
not interfere with ongoing library services or programs.
Priority for
non-library usage of the room will be given to literary, educational, cultural,
and civics groups.
Group membership must be open to the public.
The library
reserves the right to deny use of the room to any group. The room is not
available for use by political or religious groups,
or groups engaged in political activities.
No group may
acquire permanent rights to use the program room and no group may use the
room more than once a month.
Reservations may be made for only one meeting at a time. The only exceptions
to the frequency of use policy are Library Programs or
Library co-sponsored programs.
The Program
Room is available for use during the hours of regular Library operations. A
group wishing to use the program room when the library is closed must make
special arrangements with the library director for such usage. The library
reserves the right to refuse after hours usage.
Scheduling and Use Guidelines
Groups
must apply at least 10 working days ahead of the date they wish to use
the Program Room by completing and submitting (either by fax 315-841-4258 or
in person) a Program Room Use application (or you
can pick one up at the library). Confirmation of the room availability and
reservation will be made by the library staff within 5 working days.
Groups will
be scheduled on a first come, first served basis.
Reservations
permit use of the facility by a group's official members, specifically
invited guests, and specifically invited speakers.
The group may not invite the general public to their event.
Program Room
furnishings are available for group use. Includes 50 chairs and 10
5 foot tables. The Program Room cannot exceed 124 people.
Permission
to meet at the Library does not in any way constitute endorsement
of a particular group or its program by the Library Board
or staff. No unwarranted implication that a group is sponsored or endorsed
by the Library is permitted.
The library requests a five day notice
of reservation cancellation.
Restrictions and Responsibilities
No smoking is allowed in the Library
building.
Program Room users are responsible for
cleaning and removing all of their materials immediately after the completion
of their activity.
Should the Library staff determine that trash or other materials are left in
the room, or the the room is not in good order, the program user will
be responsible for paying for cleaning the room. The Library staff will hire
a cleaner and schedule the cleaning in such situations. Program
room users are also responsible for any damages that occur to Library property
as a result of their use of the facility.
Groups may not charge admission and may
not hold fund raising events in the Library's Program Room.
Groups may serve light refreshments (beverages,
snacks, appetizers), but may not serve meals of any sort. Coffee
making equipment (but not the coffee) is available upon request.
The Waterville Public Library is not responsible
for any group's equipment, supplies or materials.
The Waterville Public Library is not responsible
for any personal injury resulting for a group's use of the Program Room.
